Intelligence / AI Concierge

Ask Zip. Find the answer. Finish the work.

Speak or type a request in the HR console or employee hub. Zip can explain approved information, work with records you are allowed to see, and carry a multi-step job through an editable draft, table, message, task, sign-off, or recurring schedule. Your role, source access, and action settings shape what it can actually do.

Inside AI Concierge

From a question to a useful result.

Find and explain

Ask about published documents, policies, benefits, people, or company records in your permitted scope. Zip looks up the material before answering and names the source when it uses one. If the information is missing, it says so.

Make something you can open

Turn permitted records or spreadsheets into a table or Excel file. Ask for a report, memo, or other written piece and Zip saves an editable draft in Document Studio instead of leaving the work buried in chat.

Reach the right people

Ask Zip to prepare a message for named colleagues or an eligible group, assign a task, request a document sign-off, or publish an announcement. It resolves the audience and checks each action against the person's role.

Set up repeating work

When you ask for a regular update or reminder, Zip can schedule a job. You can inspect upcoming runs and pause or stop a schedule from your jobs.

Keep the work in view

A multi-step job continues when you close the window. Return to Your jobs for its status, result, saved outputs, and What I did action record. Zip reports people it could not reach or steps it could not complete.

Decide how actions proceed

Ask before acting lets you review outward actions first. Turning it off reduces prompts for routine work, while sensitive messages, broad sends, signatures, and request decisions still require approval. Your role limits every action. You can stop a job in progress; supported logged actions can be undone.

Different audiences, different information

One assistant.
Clear boundaries.

Where you use Zip and who you are determine which knowledge is available. A public visitor does not get an employee's or HR team's view.

  • HR console

Authorized HR users can work across company documents and records, create drafts and reports, and coordinate company work within their permissions.

  • Employee hub

Employees can ask about published company information and their own training, requests, sign-offs, and assigned work. A manager's team view depends on their role; company-wide HR actions remain with HR.

  • My Knowledge

An employee can upload private files for personal answers. The shelf is tied to that employee's sign-in; HR, managers, and colleagues cannot browse it.

  • Public website and phone

The website chatbot answers visitors from a separate public knowledge collection. A phone receptionist needs a connected company line and caller-approved information before it can answer calls; public phone and web access are controlled separately.

An example in practice

See the steps.
Keep the decision.

Example: “Find people with overdue onboarding tasks, prepare an individual reminder, and tell me who was reached.” The result depends on the records and permissions available.

  1. Ask in plain language

Type the request or dictate it. Zip records the job, so you can leave the page and return later.

  2. Check the source

Zip looks up the relevant onboarding records in the company's permitted scope and resolves the people who match the request. It does not guess a missing result.

  3. Review the outward step

Zip prepares each person's reminder and shows a recipient and message preview. It asks for your decision when your setting or the send's scope requires it. Permissions are checked either way.

  4. See what happened

Your jobs shows the outcome, including recipients reached, skipped, or unavailable. Open What I did to inspect the action record. Set a repeat only if you asked for one.

The result

An answer you can check. Work you can use.

Zip can leave you with a cited answer, editable document, table or Excel file, completed assignment, or a scheduled job—depending on what you requested and what your role allows. The job record shows what happened and where a person, source, permission, or delivery step needs attention.
